Business Email
Both platforms provide professional email using your own domain, shared calendars, spam filtering, mobile access and central administration.
Google Workspace uses Gmail, while Microsoft 365 uses Exchange Online with Outlook. For most businesses, both are reliable and capable.
Microsoft Office Compatibility
If your business already relies on Word, Excel, PowerPoint or Outlook, Microsoft 365 is usually the more natural fit.
Google Docs, Sheets and Slides are capable and easy to use, but formatting can change when Microsoft Office files are opened, edited or shared between platforms.
If customers, suppliers, accountants or partners regularly send you Office files, Microsoft 365 generally gives the smoothest experience.
Collaboration
Google Workspace built its reputation around simple real-time collaboration, and it still does this extremely well.
Microsoft 365 now offers live co-authoring, Teams meetings and chat, SharePoint document libraries and shared workspaces.
For everyday teamwork, either platform can work very well. The better choice often comes down to which tools your staff already understand.
File Storage and Organisation
Google Workspace centres file storage around Google Drive. It is straightforward and often easy for small teams to understand.
Microsoft 365 uses OneDrive for individual files and SharePoint or Teams for shared business documents. That structure can take more planning, but it offers greater flexibility as the business grows.
Departments can have separate document areas, permissions can be managed more precisely and files can be integrated directly into Teams.
Security and Device Management
Both platforms include important security protections, including Multi-Factor Authentication, spam filtering and central account management.
Microsoft 365 offers a particularly broad range of security, identity and device-management options as your requirements grow. Depending on the licence, this can include Conditional Access, Microsoft Defender and Intune.
For businesses that want stronger control over Windows devices, user access and Microsoft applications, Microsoft 365 often provides the deeper long-term platform.
Which One Is Easier?
Google Workspace is often slightly easier for very small businesses that mainly need email, documents and cloud storage through a browser.
Microsoft 365 can involve more initial planning, especially when Teams, SharePoint, security and devices are included. However, that extra capability can become valuable as a business grows.
- ✓Choose Google Workspace for a simple, browser-first setup
- ✓Choose Microsoft 365 if your business already uses Office or Windows heavily
- ✓Choose Microsoft 365 if you expect more complex collaboration, security or device needs
Which One Do We Recommend?
There is no universal winner. Both are strong platforms, and the right choice depends on your people, workflows and future plans.
At CloudMonsta, we specialise in Microsoft 365 because it provides an excellent foundation for businesses that rely on Microsoft Office, need structured collaboration or want broader security and management options over time.
For a freelancer or a very small browser-first team, Google Workspace may be perfectly suitable. For a growing business already using Word, Excel, Outlook or Windows, Microsoft 365 is often the stronger long-term fit.
